Why we ask for your consent

The International Association for Public Participation Australasia Limited (IAP2 Australasia), trading as the Engagement Institute, is committed to protecting the privacy of all personal information you provide for the Engagement Institute Annual Conference 2025 (“Annual Conference”).

By registering for the Annual Conference, you consent to the collection and use of your personal information for event management purposes, including registration, communication, and, where relevant, sharing with event partners and sponsors. IAP2 Australasia respects your privacy and will not share your information for marketing purposes without your explicit consent.

A delegate list will be provided to sponsors, including your name, position, and organisation - but not your contact details. These same details will also appear in the event app. You will receive login information before the event to update your profile and manage your sharing preferences.

Why are we processing your personal data?

We ask for your personal data to facilitate your involvement in the Engagement Institute Annual Conference 2025. Your data may be shared with third parties to process your involvement. This may include:

• Conference venue (for dietary and accessibility requirements)
• Accommodation hotel
• Stripe payment gateway
• Microsoft Azure

Delegate details

Sponsors may be given a list of delegates including name and organisation (not contact details). Receipt of your registration form signals acceptance of inclusion on this delegate list.

Attendee App

Your first name, last name, and organisation will be shared on the conference app. You will receive login details closer to the event to adjust your profile and set sharing preferences.

How long will we store your personal data?

Your personal data will be retained after the conclusion of this event and for promotion of any future Engagement Institute Conferences.

You may request access to, correction of, or deletion of your data by contacting us at enagagementinstitute@nectarcc.com.au.

The right to withdraw your consent

You retain the right to withdraw consent to use your personal data at any time. However, please note that if you withdraw consent required for event registration or logistics (such as venue access, dietary requirements, or communications), we may not be able to guarantee your participation in the Annual Conference.
